We call it Virtual Admin. It is a block of senior hours each month, owned by one named person rather than a rotating bench, for the work that never quite justifies hiring an architect or opening a project.
What it is

Not a statement of work per request. Enhancements, break-fix, integrations, upgrades and the occasional new module all come out of the same block, so nothing has to be big enough to justify its own paperwork before it can get done.
One named senior engineer
The same person, month over month, rather than whoever is free on a bench. This is the part that compounds and the part an agency structurally cannot sell.
Requested wherever you already work
A daily sync, a ticket in your own instance, Slack, an email. There is no portal to learn and no process for your team to adopt.
Tracked and reported back
Each task carries a short description, an estimate, acceptance criteria and a completion date, with a weekly report of what was used and what is left. You should never have to ask where the block stands.

What it looks like when it runs
A managed services provider runs its own ServiceNow instance for the services it delivers to its customers. They needed senior ServiceNow help without hiring a full-time architect or starting a project every time something came up.
What came out of it, so far:
- An outbound ticket-sync integration with a partner's ServiceNow instance, attachments included.
- An identity sync, scoped so the client's security team could approve one narrow permission instead of a vague request for access.
- Inbound alert email driving automated case creation, with routing that feeds contractual SLA clocks, plus the routine upgrade and clone work that keeps a platform current.
Why it works is not the hours. The same person has known the instance for years, so a change that would take a newcomer a week to scope safely takes an afternoon. The engagement has renewed year over year, because the alternative was starting over.
Who this fits
A mid-size organization that runs its own ServiceNow instance with a one to three person admin team, or none, and keeps deferring work that never quite justifies a hire or a project.
Who it does not
If what you need is the lowest hourly number, a staffing agency will beat us and we will say so on the first call. This is principal-level work, and the reason it is worth more than a seat is that the person doing it has the context to tell you when the thing you asked for is the wrong fix.
If you have a genuine project with a date attached, that is different work. We do consolidations and migrations too, and we will tell you which one you actually need.
Booking Q4 2026 and Q1 2027
A retainer does not need a kickoff. It needs an instance to get to know, so starting small in November is a better first month than a rush in September. We are currently engaged and booking new blocks for Q4 and Q1.
